Requesting repeat supplies without the guesswork

Prepare a refill request with the current item, your remaining supply needs and any changes.

A reminder is the start of a conversation

Repeat supplies should reflect what you currently need. If you receive a reminder, use it to review the products you are using and whether anything has changed. A reminder is not a confirmation that an order has been placed or that a shipment is on its way. Ask the supplier to explain the next step if the message is unclear.

Keep the exact product information available when you contact the team. A label from the most recent package can help identify the model, size, part number and package quantity. This is particularly useful when similar names appear across several generations of a device.

Confirm current need

CMS requires suppliers to contact the patient or representative and document the need for applicable DMEPOS refills. Supplies must not automatically ship on a predetermined schedule, even if the patient has previously authorized that arrangement. The current guidance calls for affirmative confirmation within 30 calendar days of the expected end of the existing supply and delivery no sooner than 10 days before that end.

Patients do not have to count remaining items under this CMS guidance. Be ready to discuss when your current supplies are expected to run out and whether you need more. Other payer or product requirements may also affect an individual order.

Mention changes before the next shipment

Tell the team if your clinician changed the product, your insurance changed, your delivery address changed or you have stopped using an item. If you moved to a different device, identify its exact model. Sending the previous supplies without checking could leave you with a package that no longer matches your routine.

Also mention if a caregiver is now helping with requests. Ask how to confirm that person’s role and communication preferences. Keep personal details in the appropriate service conversation rather than putting them into website search or a general contact message.

Know what a confirmed request means

Ask whether the request is ready for fulfillment or still awaiting an order, benefits review or other documentation. Confirm the item and quantity, any expected cost and the delivery arrangements. Avoid relying on a delivery date until the team has confirmed it for the actual order.

This website does not submit refill requests. Call Medrax at (480) 550-8566 to discuss your supplies and the next step. If you expect an interruption, contact your supplier and clinical team promptly. Do not change device-use instructions or stretch supplies beyond their intended use based on an expected shipment.

  • Current manufacturer, model and part number
  • Whether you need another supply now
  • Any changes to the product, plan or delivery details
  • A clear explanation of what remains before fulfillment
