Helping a family member with equipment and supplies

Organize product information, communication preferences and practical questions as a caregiver.

Agree on the help the person wants

A caregiver can make ordering easier by gathering product details, preparing questions or joining a phone call. Begin by asking the person what help they would like and how they prefer to be involved. They may want assistance with paperwork while making their own product and financial decisions, or they may need a different arrangement.

When you contact a supplier, explain your relationship and ask what is needed before the team discusses personal information. Being a relative does not automatically establish unrestricted access to every record. The team may need to confirm permission or the authority of a personal representative.

Keep the product information together

Create a simple list of equipment and supplies already in use. Include the manufacturer, model, part number, size and usual package quantity where available. Keep instructions and recent package labels in a place the person and their helper can locate. This reduces reliance on memory when a replacement is needed.

Add questions rather than assumptions. For example, write that you need to confirm whether a particular part matches the current device. If there is a new prescription or a change recommended by the clinician, flag it before another order is discussed.

Coordinate the practical details

Ask who should receive follow-up information, who will be available for delivery and whether the item needs setup or fitting. A shipped product and an in-person service are different arrangements. Confirm what is available rather than expecting that delivery automatically includes installation or training in the home.

If several family members are helping, choose one person to keep the current questions and order references organized. Avoid placing the same request repeatedly through different people. An existing reference, when available, can help the supplier understand that you are following up on the same request.

Protect privacy while staying involved

HHS explains that providers may share relevant information with family or friends involved in care in appropriate circumstances, including when the patient agrees or does not object. That does not make every record available to every helper. Ask the team how they handle the person’s preferences and any required verification.

Do not place insurance cards, prescriptions or medical details into a public form, product search or ordinary email. Ask for the appropriate communication route. The online preparation tool here only handles general choices and does not send a request; you can call Medrax together to discuss the next step.
